Microsoft’s Outlook Is Blocking Legitimate Emails After Aggressive IP Filtering

Email is a very important mode of communication today. Its simple approach allows users to send messages, videos, images, and more instantly. As long as the sender knows the recipients' email addresses, the message is delivered.


Unfortunately, its simplicity made email the main tool for unsolicited messages. Since the 90s, spam has proliferated, becoming a source of unsolicited messages, scams, and even cyberattacks. ISPs and other online service providers are constantly on the lookout to protect their customers against spam.


Spam protection is always in place to protect users 24/7. However, excessive blocking could have serious repercussions. Businesses could be disrupted, transactions halted, and important messages blocked when over-blocking occurs. While it actively protects users from spam and fraud, important services are blocked because the email is from a restricted IP address.



Microsoft Working Overtime Blocking Emails

According to a report by The Register, Microsoft has been "overzealous" about its email blocking. It has limited or completely blocked companies from sending email to their clients. The block affected “A large number of users, ranging from the administrator of a server sending automated notifications on behalf of Estonian Public Libraries to an email provider for healthcare professionals…”


Whenever an affected user sends an email, the sender will receive a 550 Email Error. This error suggests the recipient has a full inbox, a built-in spam filter, or incomplete authentication.


Blocking IP Addresses from Sending Emails

As more and more companies report the error, a common theme has emerged. Recipients using Microsoft’s Outlook and other related email services (Live.com, Hotmail.com, MSN.com) have rejected emails. These accounts are often personal, free accounts. The blocked senders also use Static IP Addresses for their internet connectivity.


Blocking an IP address from sending emails is not uncommon. ISPs and related service providers can block messages on behalf of their customers to protect them from fraud and unsolicited emails. An IP address is blocked because its “reputation” has been downgraded due to sending an excessive amount of emails. An ISP may slow down or block a client’s email if their IP address is linked to spam.


An IP address can be blocked from sending emails if too many spam reports damage its reputation. Microsoft’s Smart Network Data Services, or SNDS, is a tool that constantly monitors the email exchange in its email services to protect its users. It’s also a good place to check an IP address’s reputation.


Microsoft’s Response to IP Address Blocking

With an increased awareness of IP address blocking from sending email to Microsoft recipients, the software giant recently stated the following:

“We are aware of an issue that may result in certain IP addresses being temporarily rejected at higher rates. We are actively investigating the issue. Please continue to submit tickets if you are experiencing this problem.”

 

It’s a welcome development for those affected. This gives a way to fix the problem, especially for time-critical services. Companies with affected IP addresses should take action immediately to ensure uninterrupted email communication with customers.
